What does a website cost with you?

The price depends on the size of your project and is fixed before we start. No hourly rates and no surprises afterwards. We work with two packages: Standard for one strong page that sells your whole business, and Growth for several pages with an extra feature, such as online booking. Larger automations we work out for you separately. After the first call you know which package fits your business and you get your price in writing.

Do I have to pay everything up front?

No. The first version you see in the call is completely free. If you go ahead, you pay a deposit and the rest only when your site is finished and you have approved it, just before it goes live. So you never pay everything for something you have not seen yet.

Am I tied to anything after the call?

No, to nothing. The call is free and there are no strings attached. Better still: during that call you already see a first version of your own site. If it does not convince you, it ends there and you are half an hour wiser. No pushing afterwards.

How fast is my site live and how much of my time does it take?

Guaranteed live within 10 working days. You spend about an hour on it in total: one video call in which you tell us about your business. If you go ahead, we schedule the handover in that same call. We do all the rest, from copy and photos to the technology. We also transfer your existing web address; if needed, we contact your current provider ourselves.

I already have a website.

Most of our clients already had one too. In the call we look at it together: do you get found, does it give the right impression and do visitors actually get in touch? Sometimes a few tweaks are enough. Often new is faster and cheaper than patching up old. We tell you honestly, even if that means you do not need us.

I have no good photos of my work.

Then we start with what is already there: photos from your current site, your social media, your reviews. If we find nothing usable, we source suitable images ourselves. If you want real photos of your business, we schedule a photo shoot at your request; it is charged separately and never happens unless you ask for it. Bad photos are a reason to start, not to wait.

Will I also be found through ChatGPT?

More and more people ask ChatGPT directly instead of googling. That is why we build your site so it can read and recommend it easily. Nobody can promise a top spot. Anyone who does, you should distrust. But your site is technically ready for it from day one.

Do I own the website?

Yes, one hundred percent. The site, your web address, your copy and your photos are in your name. If you ever want to continue without us, you simply take everything with you. You are never locked into a system that holds you hostage.

And if I want to change something afterwards?

Then you email us. Copy, photos, prices or opening hours are live within 24 hours on working days. Hosting and maintenance simply continue, nothing for you to worry about. If something comes up regularly, like a new review or photos of a finished project, you can outsource that to us. We then keep your site actively up to date so you get found better in Google and ChatGPT every month. After a short starting period everything can be cancelled monthly.

Transfers outside Europe

We are based in the United Arab Emirates and some of our suppliers in the United States. For those transfers we rely on the European Commission’s standard contractual clauses, or on the EU-US Data Privacy Framework where the party concerned is certified for it. You can request a copy of those safeguards from us.

Your rights

You may ask which data we hold about you and receive a copy. You may have it corrected or deleted, have the processing restricted, object to processing based on our legitimate interest and receive your data in a readable file. If you gave consent, you may withdraw it at any time.

One email to support@spacebitz.com is enough. We reply within a month. To make sure we hand the data to the right person, we may ask you to identify yourself.

Security

The site runs over an encrypted connection. Only the people who need the data have access to it. We select our suppliers partly on their security. If something does go wrong, we report it as the law requires.

Automated decisions

We make no decisions about you that are fully automated and that significantly affect you.

Not happy?

Tell us first, and we will sort it out. If you cannot resolve it with us, you can lodge a complaint with the Data Protection Authority in Belgium, the Autoriteit Persoonsgegevens in the Netherlands, or the supervisory authority of the country where you live.

Changes

If we change this policy, we put the new date at the top. For an important change we notify our clients separately.

Small files a website places on your device to remember something. Some are needed to make a site work, others serve to track your behaviour.

Visitor statistics without cookies

We count visitors with Plausible. That service sets no cookies, builds no profile of you and does not recognise you on other sites. We only see how many people viewed which page. Your consent is not needed for that.

The Calendly calendar

If you want to book a call, we use the Calendly calendar. We do not just load it: there is a button, and only when you click it does the calendar appear. From that moment Calendly places its own cookies to make your booking work. That is your choice, and you can keep using the site without ever pressing that button.

The examples of client work

In our portfolio you can open a client’s site in a window. That site only loads when you open the project, and from that moment that site’s cookies apply, not ours. If you would rather not, simply do not open the project; the image next to it shows you the same thing.

What exactly Calendly places

Calendly decides that itself and it may change. Their own cookie overview is at calendly.com/legal.

Removing cookies

If you opened the calendar and want those cookies gone again, you delete them in your browser settings. Every browser has a button for that under privacy or data.

1 · Who we are and who this applies to

These terms apply to every quote, assignment and agreement of SpaceBitz, established in Dubai, United Arab Emirates.

We work exclusively for companies, self-employed professionals and associations, within their professional activity. We do not enter into agreements with consumers.

2 · How an agreement is formed

Our quotes are valid for thirty days. The agreement is formed as soon as you accept the quote in writing; an email is enough. These terms then form part of it. Your own purchasing terms do not apply, unless we have accepted them in writing.

3 · What we promise and what we do not

We build websites and make sure they are technically ready to be found: fast pages, a clean structure, copy and data that search engines and AI assistants can read. We put our full effort into that.

What we cannot promise is a place in the results. Google, Bing, ChatGPT and the other assistants decide for themselves what they show, change how they work without notifying anyone and give guarantees to no one. So we promise no position, no number of visitors, no number of enquiries and no revenue. Anyone who does promise you that is promising something nobody can deliver.

4 · What we need from you

A site only moves forward when the material is there. We start with what already exists: copy and images from your current site, your social media and your reviews. If we find nothing usable, we source suitable images ourselves. You deliver on time what only you have: your logo, the access to your web address and your existing systems, plus the facts about your business that we cannot find anywhere. A photo shoot of your business is only scheduled at your request; it is charged separately.

You guarantee that what you deliver to us may be used and does not infringe the rights of others. If we receive a complaint or claim about it, you indemnify us.

If a project stalls for more than sixty days because we are waiting for you, we may close it and invoice the work delivered.

5 · Ten working days, and what that means exactly

We put your site live within ten working days . That is not an estimate but a promise, which is why we spell out here exactly how it is measured.

The clock starts on the first working day after three things are in place: you have accepted the quote, your deposit is in our account and we have from you what only you can give: your logo, your access details and the facts about your business (article 4). Copy and images we gather ourselves; we do not wait for those. If something from you is still missing, the clock only starts once it has arrived.

The clock pauses while we wait for you: for material, for an answer or for your approval. It resumes on the first working day after that. That way the promise stays ours and not the circumstances’.

“Live” means your site is online at the agreed address and works. If you change the assignment along the way, for instance with an extra page or feature, we agree a new deadline for that together.

Other dates we mention along the way are estimates; only this deadline is a guarantee.

As soon as you approve the site, the assignment is complete and this guarantee is settled. It cannot be revisited afterwards.

If we miss the ten working days and it is our fault, your project takes priority over all our other work until it is live, and we let you know every working day where it stands. Whatever the law grants you beyond that still applies; this arrangement takes nothing away from it.

An assignment includes two rounds of changes to the design. Anything that changes after that we charge separately, at the rate in the quote. If you do not respond to a delivery within ten working days, we consider it approved. That way a project does not stay open endlessly.

6 · Payment

Unless the quote says otherwise, you pay half at the start and the rest on delivery. Invoices are payable within fourteen days. If something is wrong with an invoice, let us know within fourteen days.

If you do not pay on time, the statutory interest for late payment in commercial transactions accrues from the due date, automatically and without notice, plus compensation of ten percent of the outstanding amount for collection costs. If we owe you something and pay late, exactly the same applies in your favour.

If an invoice remains unpaid for more than thirty days, we may suspend the work until it is paid. We notify you first.

7 · Who owns the website

Once everything is paid, the delivered site is yours: the copy, the images we made for you, the design and the code of your site. You may use them, change them and take them to another party.

What stays ours are our own building blocks: the components, scripts and methods we also use in other projects. For those you receive a right of use without end date, for your site.

We may show the work in our portfolio and on social media, with your name. If you would rather not, let us know and we remove it.

8 · Domain name, hosting and maintenance

Hosting and maintenance run per month and continue until either of us cancels, with one month’s notice. We register a domain name in your name if you want.

Small changes go live within twenty-four hours, on working days. Small means: a text, a photo, a price, the opening hours or a change within a section that already exists. A new page, a new section, a link with another program or new design work falls outside that; we schedule it separately and you get a price for it in advance. The twenty-four hours start as soon as your message arrives on a working day; if it arrives at the weekend or on a public holiday, on the next working day.

If the subscription ends, the site remains yours: we hand you the files so you can host them elsewhere. We keep them for another thirty days and then delete them.

9 · Your visitors’ data

If we run your site or your forms, we process data of your visitors and customers in doing so. You are the controller for that, we are the processor. What we may do with it is laid down in our data processing agreement, which forms part of these terms and which you can read right away.

10 · Our use of AI

We use artificial intelligence in our work: for images, video, copy and code. What we deliver we check ourselves and take responsibility for. Material you provide we use only for your assignment. If you would rather not have AI-generated images on your site, say so at the start.

11 · Liability

We are liable for damage we cause, with two limits. We do not compensate consequential damage, such as lost revenue, lost customers, missed savings or reputational damage. And our compensation is limited to what you paid us for that assignment in the twelve months before the damage occurred.

Those two limits do not apply in the case of fraud, intent or gross negligence, not for damage to life or health and not where the law does not allow them.

For services of others that your site needs — hosting, domain name, the calendar, email, search engines, social media — we are not liable when they fail, change their terms or stop. We do help you to resolve it.

12 · Force majeure

If we cannot deliver because of something beyond our control, such as a supplier outage, illness, war or a government measure, the deadline moves. If that lasts longer than sixty days, either of us may end the agreement without compensation and we settle what has already been delivered.

13 · Duration and termination

A project assignment runs until delivery. Ongoing services run per month. If either of us seriously breaches the agreement and does not remedy it within fourteen days of a written notice, the other may end the agreement. What has been delivered until then remains payable.

14 · Changes to these terms

We may change these terms. For an ongoing assignment the version that applied when you accepted the quote applies. For ongoing services we announce a new version at least thirty days in advance.

15 · If a provision is not valid

If a provision turns out to be invalid, the rest remains in force and we replace it with a valid provision that comes as close to it as possible.

16 · Which law applies and which court

Belgian law applies to our agreements. Disputes are brought before the Enterprise Court of Antwerp. We choose that, even though we are established in Dubai, because a ruling of that court applies throughout the European Union and is therefore usable for both parties.

Before we go to court, we try to talk it out first. That usually works.

What this is about

If we build and run your site, people’s data comes in through it: whoever fills in your contact form, whoever books an appointment, whoever visits your pages. That data is yours, not ours. This agreement lays down what we may do with it and what not. It forms part of our terms and conditions and is required under Article 28 of the GDPR.

1 · Who is what

You decide which data comes in through your site and what you use it for. So you are the controller.

We build and maintain the site and the technology around it. In doing so we touch that data, but always for you and never for ourselves. So we are the processor. That is us: SpaceBitz, established in Dubai, United Arab Emirates.

2 · What we process

Depending on what your site does, this covers:

The people concerned are the visitors of your site, your customers and the people who contact you. We process their data for as long as this agreement runs.

3 · Sensitive data

If you want special categories of data to come in through your site — health, religion, political opinions, criminal data, data of children — say so in advance. We then agree extra measures. Without that agreement you may not run such data through our systems.

4 · We only do what you ask

We process the data only as you instruct and as needed to deliver the service you pay us for. We never use it for ourselves, we sell it to no one and we train no AI models with it.

If we believe an instruction of yours conflicts with the law, we say so and do not carry it out until it is cleared up. If a law requires us to process something outside your instructions, we let you know in advance, unless that same law forbids it.

5 · Our people

Only those who need the data for their work have access to it. Everyone with us is bound to confidentiality, also after the collaboration has ended.

6 · How we secure it

If the risk changes, we adjust these measures. We never drop below what is stated above.

7 · Who we engage

We may engage others to do our work. Today these are:

We impose on them the same obligations we take on towards you here, and remain responsible to you for what they do. If someone is added or drops out, we notify you at least thirty days in advance. If you have a well-founded objection, we look for another solution together; if we cannot find one, you may end the part of the agreement concerned without compensation.

8 · Outside Europe

We are based in the United Arab Emirates and some suppliers in the United States. For those transfers we rely on the European Commission’s standard contractual clauses, or on the EU-US Data Privacy Framework where the party concerned is certified for it. You receive a copy of those safeguards on request.

9 · If someone exercises their rights

If a visitor or customer asks for access to, correction, deletion or transfer of their data, you handle that request: it is your data and you know the context. We help you: we look up what there is and carry out what you ask, within a reasonable time and without charging separately for it.

If such a request accidentally reaches us, we forward it to you and do not reply ourselves.

10 · If something goes wrong

If we detect a data breach, we notify you within forty-eight hours, with what we know at that moment: what happened, which data is concerned, how many people it affects and what we are doing about it. If we do not know everything yet, we send the rest later.

Reporting to the supervisory authority and to the people concerned is done by you, because you are the controller. We provide everything you need for that. We never report anything in your name ourselves without your agreement.

11 · If you have to demonstrate compliance

On request we provide the information with which you can demonstrate that we comply with this agreement. If you need a data protection impact assessment, or have to consult a supervisory authority in advance, we help with that.

Once a year you may have an audit carried out, and additionally whenever a supervisory authority asks for it. That happens at your expense, announced at least two weeks in advance, during working hours and without disrupting the service. Whoever carries out the audit first signs a confidentiality agreement.

12 · At the end

If our collaboration ends, we return all data to you in a usable format. After that we delete our copies, within thirty days. Backups disappear in their normal cycle. If the law requires us to keep something, we keep only that, and only for as long as required.

13 · Liability

The limits from our terms and conditions apply here too, with the same exceptions for fraud, intent and gross negligence.

If you receive a fine or a claim because you gave us an instruction that was not allowed, or because you let data come in that should not have been there, you bear it yourself. If it goes wrong through a mistake of ours, we bear it.

14 · Duration and precedence

This agreement runs for as long as we process data for you, and the provisions that still make sense afterwards remain in force. If it contradicts our terms and conditions on the point of data protection, this agreement prevails.

If the law changes, we update this text and let you know. For the rest, the same applies as in our terms: Belgian law and the Enterprise Court of Antwerp.

This agreement forms part of our terms and conditions. When you accept the quote, you accept it too — you do not need to sign anything separately. If you would still like a signed copy for your records, email support@spacebitz.com and you will receive it.
